Connect Gmail or Outlook to ChatGPT or Claude

Four ways to let the AI you already use read your email, what each one can and cannot do, and which one fits which mailbox.

Most of a food business’s selling happens in email: a buyer’s question about pallets, a forwarder’s booking, the price you quoted in March. Letting an AI read that mail can save a lot of scrolling. There are four ways to do it today. Two of them come with the AI you already pay for. This guide says what each one does, where it stops, and which fits which mailbox.

Way 1: Claude’s own Gmail connector

Claude’s help centre says its Google Workspace connectors (Gmail, Google Calendar, Google Drive) are available for all users on Claude and Claude Desktop.

What it can do. Search and read emails, draft emails, and send, reply to and forward from Gmail. By default Claude asks for your approval before each of those actions.

Where it stops.

  • It reads attachment metadata, not attachment content. It sees that a price list is attached, not what the price list says.
  • On Team and Enterprise plans, an owner has to switch the connector on first.
  • Claude says data retrieved this way is stored on Anthropic’s servers with the chat it belongs to.

How to connect. In Claude, open the connectors list, find Gmail, press Connect, and sign in with Google.

Way 2: Claude’s Microsoft 365 connector (Outlook)

This covers Outlook email, Outlook Calendar, OneDrive, SharePoint and Teams, and Claude says it works on all plans, Free included.

Where it stops, and this is the one most small businesses hit:

  • It needs a work Microsoft 365 account. Personal accounts such as @outlook.com, @hotmail.com or @live.com cannot be used.
  • Someone with Microsoft administrator rights has to give a one-time consent before anyone can connect.
  • Sending is only possible if your administrator has switched on write tools, and Claude cannot send, forward or draft an email with an attachment.

Way 3: ChatGPT’s Gmail and Outlook apps

ChatGPT connects to Gmail, Google Calendar and Google Contacts, and to Outlook Email and Outlook Calendar. You find them under Settings, then Apps (the older name was Connectors).

What the Outlook app does, per OpenAI: it searches your mailbox by sender, subject and date and returns the full text of the messages it finds.

Where it stops.

  • OpenAI says a broad search or summary may return incomplete results, and suggests splitting a large request into smaller date ranges.
  • With a work account, a Microsoft or Google administrator may have to approve the permissions first.
  • Which plans get which app has changed several times this year. Look at your own Settings before relying on it.

Way 4: a mail app on your own computer that your AI reads

MCP is the standard ChatGPT and Claude use to talk to other software. A mail app on your computer can keep a copy of your mailbox there and answer your AI’s questions about it.

This is what we make: OleaDesk Mail. It is a Windows app (Windows 10 or 11) that connects any IMAP mailbox: Gmail, Outlook, or your own domain, and several at once. Your AI asks OleaDesk, and OleaDesk answers from the copy on your disk. It can read the text inside attachments. It drafts the way you write, learned from your own sent mail. Sending is off until you switch it on, and even then nothing goes out until you press Send on the exact email it shows you. It cannot delete or move a message.

Where it stops, said as plainly as the others:

  • It is Windows only. There is no Mac version.
  • What your AI reads still goes to that AI’s provider, under their terms, as with Ways 1 to 3.
  • ChatGPT, Perplexity and Claude on your phone reach it through our relay, which is off until you switch it on. Questions and answers pass through our servers, encrypted, for the seconds a call takes, and are not stored.
  • It costs $10 a month after 7 days free. Ways 1 to 3 come with the AI you already pay for.

Which one fits

  • You use Gmail and Claude. Start with Way 1. It costs nothing extra and it is good. Move on only if you need what is inside attachments.
  • Your mail is on @outlook.com or @hotmail.com, or with your web host. Claude’s connectors will not reach it, and ChatGPT’s Outlook page is written around Microsoft work accounts and their administrators. For mail on any other host, Way 4 is the route.
  • You have several mailboxes (sales@, your own, an old company address). Ways 1 to 3 connect them one account at a time. Way 4 searches them together.
  • You want your AI to draft in your voice and keep you in control of every send. Claude asks before it sends by default. OleaDesk Mail adds a switch and a confirmation box on your own screen.
